Job Description

Twin Group is an award-winning provider of education, travel, work experience, accommodation, and employment services. We are currently recruiting a College Administrator to join our Dublin team.

This role is to create a welcoming and positive impression of students and visitors to Twin English Centre Dublin.   Ensure the smooth running of the day-to-day administration and operations of the Centre. Manage the effective and efficient record of general operation reports.

Key responsibilities

Administration

  • Maintain a positive relationship with students and agents. Ensure bookings are correctly recorded and invoiced on CLASS.
  • Liaise with and keep informed the Head of Operations and Directors on all relevant matters.
  • Liaise with agents and potential students including responding to queries, sending standard quotations, information on courses, dates, availability, content.
  • Confirm bookings back to student or agent as applicable. Send invoices to agent and/or student.
  • Checking and distributing deliveries.
  • Ensuring that all telephone queries are handled appropriately, taking messages and delivering calls or dealing with it directly.
  • Ensuring the office is stocked with appropriate items.
  • Organise and ensure correct distribution of end of course questionnaires and certificates for students.
  • Complete and assist with general office duties as necessary.

Accounts

 

  • Record payments whether made directly or emailed by the accounts department. Maintain a debtor register and following up on overdue payments.
  • · Ensure that the franking machine always has sufficient credit; franking mail and making sure that it is posted on a daily basis.
  • · Take payments, organise refunds and maintain accurate petty cash and credit payment records.
  • · Confirm bookings back to student or agent as applicable. Send invoices to agent and/or student.
  • · Putting new approaches or preventative measures in place to avoid recurrence of problems or errors.

Health & Safety and Welfare

 

  • Open & close the school, as agreed with other Twin personnel.
  • · Take part on the emergency phone rota as required.
  • · Welcome of students, leaders and visitors to Twin Dublin.
  • · Advice and counsel students with non-academic problems where necessary.
  • · Adhering to all fire safety test procedures and assisting in the evacuation process in the event of a fire.
  • · Be aware of health and safety issues and checking that correct standards are being maintained.
  • · Reporting any maintenance, breakage or cleanliness problems to the management.

  • · As with all other staff members, the College Administrator is expected to work in the best interests of the school, to be punctual in arriving for work duties and to always uphold and maintain the Twin values at all times.

Additional Information 

Salary: €28,000 - €32,000 per annum (depending on experience) 
Location : Dublin, Ireland  

Hours: 37.5 hrs Full time Monday- Friday.  Evening and weekend may be required
