Job Description

We are seeking an Enrolment Administrator to manage the office and all administrative services to enable eTraining to meet its objectives and contractual obligations in line with the Education and Skills Funding Authority (ESFA) funding and guidance; supporting eTraining to remain risk-free leading to successful ESFA audit. To manage the smooth running of all eTraining admin office functions.

Responsibilities

  • Support the Business Operations Manager with the smooth running and timely management of all office and administrative systems and functions to support eTraining to deliver high-quality and compliant services to all employers, stakeholders, and learners. Provide support to meet eTrainings business strategy leading to successful audits conducted by the ESFA and/or other funding bodies.
  • Ensure timely scheduling of learner enrolment and onboarding through effective monitoring and signposting of all onboarding processes.
  • Ensure accurate and compliant learner data is captured to support business operations and report to senior management.
  • Order supplies and equipment as needed maintaining an office inventory and control system
  • Liaise with internal and external individuals and organisations, to monitor and process accurate information supporting eTraining to be up to date with all ESFA and funding body rules, regulations, and legislation.
  • Manage the quality of the administration and data systems and processes leading to continuous improvement where required to support business operations.
  • Identify and report any issues relating to processes and systems to ensure compliant processes and procedures are upheld.
  • Support the Operations Manager to ensure deadlines are achieved at all times for eTraining to be able to achieve its business objectives.
  • Maintain company processes and produce reports monthly for the senior management team as required.
  • Be a good role model ensuring eTraining values are upheld and demonstrate professionalism by leading by example.
  • Ensure health and safety, hygiene and appropriate dress code is adhered to at all times.
  • Produce professional letters, emails, reports, meeting minutes, and any other communications and/or documents to our customers, stakeholders and external organisations as required.
  • Contribute to the sharing of best practices and support continuous improvement throughout the Company.
  • Promote a positive image of the Company and all of the services eTraining delivers.
  • Adhere to company policies and processes at all times.
  • Actively contribute to and maintain a professional and welcoming environment across the business at all times.
  • Any other duties reasonably requested by the Operations Manager.

Education /Qualification 

  • To be educated to the level of GCSE English language grade C or above (or equivalent)
  • Computer skills e.g., Excel Microsoft Office (or equivalent)
  • A level 3 or above (or equivalent) qualification in Business Administration
  • A qualification in Business Administration L2 (or equivalent)

Skills and Experience

Essential 

  • Extensive experience in using Microsoft applications (Word, Access, Excel, Outlook) to manipulate data, and create and edit documentation.
  • Experience working in a busy office environment
  • Experience within a customer-focused environment
  • Must be able to recognise discrimination in its many forms and willing to put the Company’s policies into practice.
  • Must be able to work with a minimum of supervision.
  • Ability to be flexible to meet deadlines.
  • Excellent communication skills, oral and written and the ability to communicate effectively with all client groups.
  • Excellent time management skills, with the ability to work under pressure and to tight deadlines.
  • Prepared to work outside normal office hours, when reasonably required.

Desirable, but not essential:

  • Sound experience of the administration and compliance requirements of ESFA-funded education programmes and data returns
  • Current, full driving licence

Additional Information

Salary: £23,100 per annum

Location: Hybrid, with some travel required to Greenwich and other offices where required.  

Contract:  Permanent - Full Time

Hours: Monday to Friday 09:00 – 17:30
